Pre-Arrival

To ensure a smooth entry into the Penn State Harrisburg community, there are several administrative- and Human Resources-related tasks to complete. There are several academic functions that cannot be undertaken until the proper training, forms, and approvals are completed.

Human Resources Onboarding Tasks

After accepting a position with Penn State Harrisburg, you can expect to receive emails regarding important information for benefit-eligible employees. Many of these tasks are completed in WorkDay. Please direct all questions concerning these tasks to Penn State HR Services at 814-865-1473 (option 1).

Access Email

Once your HR paperwork is processed, you will receive an email with your employee ID and your Penn State user ID. From this email, you will be able to activate your Microsoft account which includes activating your Penn State email. All Penn State employees access email, shared documents, and applications through the Microsoft Office 365 suite. Setting up your account and ensuring secure access to your applications are crucial before starting to teach.

Microsoft Multifactor Authentication

Two-factor authentication is required to access all Penn State email, storage, and collaborative systems like LionPATH, Outlook, and OneDrive. Enroll in Microsoft Multifactor Authentication through the Penn State Accounts website.

PSU Alerts

Penn State uses an emergency alert messaging service, PSUAlert, to help get information to students, faculty, and staff during emergencies. These alerts include situations that present an ongoing threat to the campus and when events affect the campus’s ability to operate normally (during inclement weather, for example). This service is only used to deliver urgent information. (To ensure that the system is operating smoothly, occasional test messages are sent.)

Complete Compliance Trainings

FERPA

Completing the Family Educational Rights and Privacy Act (FERPA) training is required before receiving access to all components and tools in the Canvas Learning Management system. This training reviews the federal law governing access to academic information and records by public entities. Access the training through Penn State’s training portal, the Learning Resource Network (LRN). Upon logging in to LRN, if the FERPA Tutorial is not already assigned, use the Search feature and type in FERPA Training and Quiz to locate the training and quiz.

Additional Trainings

All Penn State employees are expected to complete required trainings through the Learning Resource Network. It is recommended that these trainings be completed prior to your start date.

Title IX

Understand applicable laws and Penn State policies related to sexual and/or gender-based harassment and misconduct.

Values, Ethics and Compliance

Review Penn State’s ethics and compliance obligations including reporting related to misconduct.

Information Security and Awareness

Recognize malicious content and keep devices secure to protect valuable information from theft or malicious intent.

Building a Safe Penn State

Learn to identify and report suspected child abuse under PA Child Protective Services Law and Penn State Policy AD-72.

Coordinate with School Administrators

Administrative Assistance

The Administrative Support Managers (ASMs) and Academic Program Coordinators (APCs) in your school are your first point of contact for learning more about your particular school. Connect with these individuals to procure your University laptop, identify your program leadership, identify your workspace, and to post office hours.

Program Coordinator/Chairs

Your Program Coordinator/Chair is the best point of contact for understanding expectations concerning your course schedule, office hours, and other related items.

Office Hours

There is no University policy concerning how and where office hours are scheduled, conducted, or posted to students. Each academic school communicates its office hours expectations directly with incoming faculty.

Sign Up for Orientations

Each new full-time faculty member will receive a welcome letter and
information packet from the Chancellor’s Office. Within this packet is
information concerning the New Faculty Orientation (NFO) session for full-time faculty and related events that occur the week before classes start (for fall semester). New Faculty Orientation for full-time faculty typically occurs the Monday before classes start.

Part-time faculty will receive information from their respective school and from the Center for Teaching Excellence regarding orientation sessions that occur the week before classes start. Part-time Faculty Orientation (PTFO) is typically provided virtually in the evening on the Monday before classes start.

Registration for NFO and PTFO typically begins in late July for fall semester, and in December for spring semester.

New faculty are expected to attend these sessions.
